Responsibilities

Job Summary:

 

The Administrative Assistant provides administrative and clerical support to the Vice President and Regional Directors by performing a variety of duties, such as data collection, generating reports, composing memos, transcribing meeting minutes, filing and scheduling and planning luncheons, meetings, special events and trainings

 

Essential Duties:

  • Use data to identify opportunities where the data can be leveraged to meet the needs of the children and foster families and achieve desired business outcomes
  • Using collected data, identify trends and issues to help the Vice President and Regional Directors make recommendations for program advancements and improvements
  • Work closely with IT and business resources to determine sources for key data that can be used to transform data into intelligence
  • Track and record all inquiries and referrals received by telephone and email for all Foster In Texas (FIT) locations
  • Track applicant and inquiry data and create a month-end report for Vice President and Regional Directors
  • Track outreach efforts and activities and create a month-end report for Regional Directors
  • Reviews and evaluate office production, devise or revise procedures to improve efficiency of work-flow
  • Track and maintain inventory of FIT merchandise and ship to local offices
  • Handle multiple projects simultaneously
  • Other duties as assigned

Working Relationships:

  • Develop and maintain positive working relationships with management, staff and foster care families
  • Work closely with management and staff to ensure operations are effectively and efficiently supporting business objectives and the needs of the children and foster care families. 
  • Work as part of the team and show professionalism at all times by modeling and demonstrating positive working relationships and attitude

Qualifications

Minimum Qualifications:

  • High school diploma or equivalent
  • 1 year of administrative or clerical experience
  • Proficient in Microsoft Word, Excel, PowerPoint and Outlook
  • Ability to work independently and as part of a team
  • Excellent interpersonal skills with the ability to work with diverse groups of people
  • Strong organizational and time management skills with the ability to pay close attention to detail

Preferred Qualifications:

 

Associates degree in Business Administration or closely related field
