  • Overview

    As a member of the People Operations department, the Sr. People Operations Coordinator is responsible for personnel file maintenance, regular audits and assist the Ethics & Integrity Manger with agency-wide compliance and audit projects and duties. Must be able to independently and accurately manage multiple projects, while maintaining and upholding confidential documentation and information. This includes areas related to recruiting, employee training, record keeping, and other People Operations issues or tasks assigned.

    Responsibilities

    Essential Duties  

    • Day to day administrative responsibilities in People Operations for assigned program/projects, which include file maintenance and audits.
    • New hire pre-employment process to include offer letter - as per Corporate People Operations, background checks, pre-employment verification, pre-employment drug and TB testing, I-9 verification, record keeping and tracking.
    • Create, organize, and maintain employee files; maintain strict confidentiality of all employee files, records, and information; audit employee files to ensure compliance with Agency and licensing standards as it relates to the record keeping of employee personnel files.
    • Responsible for verification of employment request and unemployment application request responses as assigned by Ethics & Integrity Manager
    • Assist Ethics & Integrity Manager with communication, tracking and completion of all random and for-cause drug testing notifications as communicated by Corporate People Operations as assigned.
    • Responsible for monthly notification to supervisors of employee performance evaluations and maintenance of tracker to ensure timely completion, in partnership with Corporate People Operations
    • Conduct timely exit interviews upon employee resignations and submission to Corporate People Operations.
    • Empowered to report any alleged policy, procedure, federal, state or local law violation to Corporate People Operations for assistance and/or investigation.
    • Maintain accurate filing of all employee documents in personnel files in a timely manner.
    • Responsible for timely and accurate data entry of new hires, transfers, status changes and voluntary separations within 3 business days of effective date.
    • Assists Corporate People Operations and Ethics & Integrity Manger with CARF audit, agency-wide policy changes, OFCCP Affirmative Action Plan, and other compliance and audit projects and assignments.
    • Other duties or projects as assigned.

     

    Working Relationships

    • Develop and maintain strong working relationships with Corporate People Operations, Senior Program Management Team and staff, internal and external customers, vendors, and auditors
    • Work closely with Corporate People Operations to ensure practices, policies, procedures are managed and administered properly and efficiently and supports the needs of the program personnel and meets the goals and objectives of the People Operations department
    • Work as People Operations professional and team player and exhibit professional behavior, confidentiality, and a positive attitude with both internal and external customers that reflects positively on the Agency and is consistent with Agency policies and practices, state licensing standards, and program specific policies.

    Qualifications

    Minimum Qualifications

    • High school diploma or GED equivalent
    • At least 4 years’ relevant People Operations experience or prior administrative experience with People Operations exposure
    • Basic knowledge of federal, state and local employment laws and People Operations practices and trends
    • Ability to gather and analyze information to respond to issues and make recommendations
    • Strong time management and organizational skills with the ability to manage competing priorities, pay close attention to detail and meet deadlines
    • Strong interpersonal skills with the ability to work independently within a team environment and with a diverse group of people
    • Strong verbal and written communication skills with the ability to effectively work, communicate, and interact with diverse groups of people
    • Proficient with Microsoft Word, Excel, and Outlook
    • Bilingual (Spanish/English) based on service population and area

     

    Preferred Qualifications

    • Exposure to HRIS, ATS or other People Operations systems
    • Prior audit and/or compliance experience

     

    Physical Demands & Work Conditions

    • This position requires sitting and looking and using a computer for long periods of time
    • Position works in a child facility and has constant exposure to children
    • Lift, push, pull, move up to 25 lbs.
