  • Overview

    The Data Entry Specialist works closely with the disaster case management team and is responsible for maintaining the accuracy and integrity of the data and maintaining current and up-to-date records using the designated program database in accordance to grant funding requirements and guidelines and Agency standards. This is a grant funded position for a specified period of time per the grant and/or funding. 

    Responsibilities

    Essential Duties  

    • Oversee and support the data entry and record keeping of client files and information using the program’s designated database
    • Complete the required data entry of client information in a timely and accurate manner
    • Regularly audit the accuracy of client information and ensure consistency in the data collection and compliance with grant funding requirements and guidelines and Agency and program standards
    • Assist with auditing of client files and database records to ensure program validation
    • Work closely with the Program Manager and program staff to ensure client information and data collection is secure, accurate, and complete and meets audit requirements; maintain audit readiness of client files and the database at all times
    • Develop and maintain tracking systems and record keeping processes for program services based on program needs as requested
    • Generate weekly, monthly, annual, and ad hoc reports upon request or established reporting deadline
    • Support and maintain a resource library within the designated program database or other identified database and update on a regular basis or as new information becomes available; identify and document resources to support client recovery
    • Provide technical support to all database users; provide training to new users
    • Create processes and procedures to ensure the confidentially of electronic client information and client files and records
    • Provide administrative support and back-up to Case Management team and administrative staff as needed
    • Other duties and special projects as assigned

    Working Relationships

    • Develop and maintain positive working relationships with clients, their families, volunteers, community partners, and service providers and professionals to ensure survivor needs are being met.
    • Work closely with the disaster case management team to ensure case management services are addressed and delivered in a timely manner and the program process is operating effectively and efficiently to meet the needs of the survivors and/or their families.
    • Work as a team player and exhibit professional behavior and a positive attitude with clients, their families, the disaster response team, and other external partners that reflects positively on the Agency and is consistent with Agency policies and practices.

    Qualifications

    Minimum Qualifications

    • Associates degree in Computer Science or closely related field, experience may be considered in lieu of education
    • 1 years’ experience in a data support function
    • 1 years’ experience utilizing a web-based or data collection system
    • Strong customer service skills with the ability to interact with clients in a compassionate and empathic manner at all times
    • Strong people and interpersonal skills with the ability to work and interact with diverse groups of people
    • Strong organizational and time management skills with the ability to meet deadlines and manage multiple requests and job expectations
    • Demonstrated experience at providing quality and accurate data entry
    • Ability to maintain confidential filing and data collection
    • Ability to work independently and as part of a team; take initiative and work with limited supervision
    • Advanced proficiency with Microsoft Word, Excel, and Outlook

     

    Preferred Qualifications

    • Experience working with client management, case management or social solutions database, highly preferred
    • Advanced proficiency in Excel

    Physical Demands & Work Conditions

    • This position requires sitting and looking and using a computer for long periods of time
    • Lift, push, pull, move up to 30 lbs.
